Entering and editing database data

    To enter data in a field:
    1 If you're not already in Browse or List mode, choose Browse or List from the Layout menu.
    2 If necessary, choose a layout from the Layout menu or from the layout pop-up menu, on the left side of the document window (except in Browse mode).
    3 Move to the record that contains the field you want to edit.
    4 Click in the field in which you want to enter data.
    5 Enter data by typing, selecting an item or value, copying and pasting information, or inserting an object. (See the table below.)
    Tip: You can change the default order you tab through fields.

    To edit existing data in a field, use standard text-editing methods for selecting, deleting, copying, and pasting.

      Field type   Method of entering data    
    Text Type the text.
    Note: To add a tab character to a field, press Control-Tab.

    Number Type the number.
    To enter the current record number, press Command -hypen.

    Serial Number AppleWorks automatically inserts a number based on options you specified when you defined the field. You can override this number by typing a new number.

    Date or Time Type the date or time.
    To enter the current date or time, press Command -hypen.
    IMPORTANT: To avoid confusion when entering dates, always use four-digit years.

    Name Type the name. Name fields are sorted by the last word in the field.
    To ignore the last word when sorting (for example, Jr. in the name John Smith, Jr.), use a nonbreaking space (Option-Space bar) between words you want grouped together.
    To sort an entry by the first word, type the @ symbol as the first character in the field.
    To enter the name entered in the registration dialog box when you opened AppleWorks the first time, press Command -hypen.

    Pop-up Menu Click the field's pop-up menu and choose an item.

    Radio Buttons Click one of the buttons.

    Checkbox Click a checkbox to select or deselect it.

    Value List Click the field once to display the list, then double-click your selection.
    To enter an item not included in the list, press the Esc (Escape) key, type a value, and press Enter or Tab.

    Multimedia Copy and paste (or drag) a picture or movie from another document, or use a clipping.

    Record Info, Calculation, or Summary You can't enter data into these types of fields. AppleWorks automatically enters data based on the settings or formulas you specified when defining the field.
