Inserting a file into a document

You can incorporate text, spreadsheet data, pictures, movies, or database information into an existing AppleWorks document by inserting either another AppleWorks document or any document that AppleWorks can translate. The material you insert is not linked to the document it came from. That is, if you change the original document, the inserted material does not change.

Preparing your document for inserted information

Before you insert a document, you need to specify where you want the data to appear in the AppleWorks document. How you set the insertion point depends on the type of material you're inserting and what type of document you're inserting the material into.

To prepare to insert text, spreadsheet, or database files into:
any document type except spreadsheet, including Layout mode of a database document (but not Browse mode):
To insert the information as an inline object, click with the I-beam pointer to set the insertion point.
To insert the information as a floating text frame, click the arrow in the Tools window to eliminate the insertion point.
Tip: To insert spreadsheet data into a document that's not a spreadsheet, create a spreadsheet frame first, then click the top-left cell that will contain the inserted data.
a spreadsheet document: Click the top-left cell that will contain the inserted data. If the file contains them, each tab character designates a cell and each return character a row.
If you insert a spreadsheet file into a spreadsheet document or frame, AppleWorks inserts cell data and formulas. Otherwise, AppleWorks inserts cell data and the results of formulas.
Browse mode of a database document: AppleWorks always inserts information as new records at the end of the database. If the file contains them, each tab character designates a field and each return character a record. The information must match the field type (for example, text data will not insert into a Number field).
If you insert an AppleWorks database file into a database document with matching field names, AppleWorks matches the data with the matching fields.
Note: AppleWorks inserts data from spreadsheet or database documents as tab-separated text (each cell or field separated by a tab character and each row or record separated by a return character). Data in multimedia database fields appears as asterisks (*).

To prepare to insert a picture or movie into:
any document type except word processing, including Layout mode of a database document (but not Browse mode): AppleWorks inserts the picture or movie as a floating frame.
    a word-processing document:
To insert the information as an inline object, click with the I-beam pointer to set the insertion point.
To insert the information as a floating frame, click the arrow in the Tools window to eliminate the insertion point.
Browse mode of a database document: Click in a multimedia field.

Inserting a file

To insert one document into another:
1 Choose Insert from the File menu.
2 Locate the document you want to insert.
The scrolling list shows all AppleWorks documents in the folder specified above the list. To see documents in file formats other than AppleWorks, choose the desired format (or All Available) from the File Format pop-up menu.
Tip: For more information about this dialog box, choose Show Balloons from the Help menu.
    3 Click Insert.

Tip: You can quickly insert a document by dragging its icon from the Mac OS Finder desktop to a location in your AppleWorks document.

Note: When you insert any type of information into a painting document, the inserted material is selected so you can position it correctly. Once you click anywhere else, the object becomes a part of the overall image and can be edited only by using the painting tools.
