Types of database fields

    The type of field you define determines what kind of data you can include in the field.

      Field type   Can contain    
    Text Any combination of letters, numbers, or symbols

    Number Any positive or negative number

    Date Day, month, and year data

    Time Hour, minute, and second data

    Name A full name (you can sort by a portion of the full name)
    Note: If you plan to mail merge your data and you want the first or last name to appear separately, create separate text fields for the first and last names (not a name field).

    Pop-up Menu A pop-up menu of preset choices

    Radio Buttons A set of radio buttons (lets you choose only one item in the set of field values)

    Checkbox A checkbox, which can be selected or unselected. (A group of checkbox fields lets you choose multiple items in a set of values.)

    Serial Number A number that automatically increments as each new record is added

    Value List A scrolling list of values

    Multimedia A picture or movie

    Record Info Automatically generated date, time, or user name information for the record

    Calculation A formula that calculates a result based on values in the current record

    Summary A formula that calculates a result based on values in more than one record
